Privacy Policy

At AI Women TR we take the security of your personal data seriously. This policy explains what we collect through aiwomenturkiye.com and our membership processes, and why and how we process it.

1. Data We Collect

Provided directly by you

• Name, email address and phone number submitted in the membership application form
• Professional details: organisation, title, sector, area of experience
• Your open-ended answers in the application form
• Attendance and contact details provided when registering for events
• Sender name, IBAN and transaction details from bank transfer records for membership fees
• The content of messages you send us by email
• Your answers in the Starting Profile quiz (Turkish-language only): experience level, areas of expertise, income goal, learning priorities and community expectations

At events

We take photographs and video at our in-person events. Recording and publishing your image is subject to a separate explicit consent statement; if you do not consent, your image is not used.

Collected automatically

• IP address, browser and device information
• Browsing data and preferences collected through cookies

We do not collect credit card details. Membership fees are collected by bank transfer; card data is never processed or stored by us.

2. Purposes of Processing

• Evaluating membership applications and establishing the membership relationship
• Delivering membership services: trainings, gatherings, community access
• Managing event registration, attendance and communication
• Tracking membership fees and meeting accounting and tax obligations
• Informing members about programs, events and announcements
• Responding to your questions and requests
• Improving our services and analysing site usage
• Meeting our legal obligations
• Offering suitable training and program recommendations, and improving our content based on participant profiles

3. Sharing of Personal Data

We do not sell your personal data or transfer it to third parties for marketing purposes.

Your data may be shared only in the following cases and only to the extent required:

• Our service providers: website hosting (Vercel Inc.), membership and application records (Airtable Inc.), email communication
• Our accountant: limited to membership fee and invoice records
• Competent public authorities: where required by law
• Event partners: for jointly organised events, at participant-list level only and with your prior knowledge

Our service providers' servers may be located in the United States and the European Union. Cross-border transfers are carried out in accordance with Article 9 of the Turkish Personal Data Protection Law (KVKK).

4. Retention Periods

• Membership data: for the duration of membership and 12 months after it ends
• Unsuccessful applications: 6 months from the application date
• Financial records: for the period required by law (5 years under the Turkish Tax Procedure Law)
• Event images: until your explicit consent is withdrawn
• Correspondence: 12 months after the matter is closed
• Starting Profile quiz answers: 24 months

At the end of these periods data is deleted or irreversibly anonymised.

6. Your Rights

Under Article 11 of the KVKK you have the right to: learn whether your data is processed; request information about it; learn the purpose of processing and whether it is used accordingly; know the third parties to whom it is transferred in Türkiye or abroad; request correction if it is incomplete or inaccurate; request erasure or destruction; request that these actions be notified to third parties to whom the data was transferred; object to an outcome that arises against you from analysis by exclusively automated systems; and claim compensation for damage arising from unlawful processing.

7. Data Security

We apply technical and administrative measures to protect your data against unauthorised access: encryption in transit (HTTPS), access authorisation and restriction, and data processing agreements with our service providers. That said, no transmission over the internet can be guaranteed absolutely secure.

8. Updates to This Policy

This policy may be updated from time to time. The current version is always published on this page; we notify members by email of material changes.
